Managing Existing Team Members
Learn how to change team member roles, remove members, and manage your Influxie workspace team.
Introduction
As your team evolves, you’ll need to manage existing team members—promoting those who take on more responsibility, adjusting roles as needs change, and removing access when people leave. This guide covers how to manage your Influxie workspace team effectively.
Accessing Team Management
Navigate to Team Settings
- Log into your Influxie account
- Open Workspace from the left-hand sidebar (visible to Owner and Admin only)
What You’ll See
Members and outstanding invitees appear together in a single table. Each row shows:
- Name (or email for pending invitees)
- Email address
- Current role — invitees are labelled “Invitation sent (Editor)” (or whichever role was invited) instead of an active role
- A per-person View action that opens the member’s edit page (where role changes and removal happen)
There is no “Date joined” column, and there is no separate “Pending Invitations” section.
Inviting a Team Member
Only owners and admins can invite people. To add someone to your workspace:
- Open Workspace → Team members and click Invite (or “Invite member”).
- Enter the person’s name and email.
- Choose a role — Editor, Admin, or Viewer. (The Owner role is deliberately not offered here — ownership only moves by transfer. The default role is Editor.)
- Send the invite.
Influxie emails them an invitation. Until they accept, they appear in the table labelled “Invitation sent (Editor)” (or whichever role you chose). You can resend or cancel a pending invite at any time (see below).
Changing Team Member Roles
Who Can Change Roles
Owner: Can change any team member’s role to Editor, Admin, or Viewer. The Owner’s own role cannot be changed from the workspace UI — on the Owner’s row, the role dropdown and the Save button are disabled. The Owner role only moves through ownership transfer.
Admin: Can change roles of Editors, Viewers, and other Admins
- Can demote Admins to Editor or Viewer
- Can promote Editors and Viewers to Admin
- Cannot promote anyone to Owner (the Owner role is not in the dropdown) and cannot change the Owner’s role
Editor: Cannot change team member roles
Viewer: Cannot change team member roles
When to Change Roles
Promote (increase access):
- Team member takes on more responsibility
- Existing member needs higher permissions
- Reworkspace of duties
Demote (decrease access):
- Team member’s role has changed
- Person no longer needs certain access
- Security precaution
How to Change a Role
- On the Workspace page, find the member whose role you want to change
- Click the View action next to their name — this opens their edit page
- On the edit page, choose the new role from the role dropdown
- Click Save to apply the change
Note: when viewing the Owner’s row, the role dropdown and Save button are disabled.
Removing Team Members
Who Can Remove Members
Owner: Can remove any non-Owner team member (Admins, Editors, Viewers). The Owner row itself cannot be removed — the “Delete user” action is blocked for the Owner and for the user performing the removal.
Admin: Can remove Editors, Viewers, and other Admins. The Admin cannot remove themselves or the Owner.
Editor: Cannot remove team members
Viewer: Cannot remove team members
When to Remove Members
Employee Leaves Company:
- Remove access immediately upon departure
- Part of offboarding process
- Security best practice
Contractor Project Ends:
- Remove when contract complete
- Can reinvite if new project begins
- Prevents unauthorized access
Role Change:
- Person moves to position that doesn’t require access
- Reassign to Viewer if visibility still needed
- Remove entirely if no access needed
Security Concerns:
- Immediate removal if security incident
- Compromised credentials
- Policy violations
How to Remove a Member
- On the Workspace page, find the member to remove
- Click the View action next to their name — this opens their edit page
- On the edit page, click Delete user
- Confirm the removal
- Member is immediately removed from the workspace
What Happens After Removal
For the Removed Member:
- Immediately loses access to the workspace
- Workspace no longer appears in their account
- Cannot view any workspace data
- Cannot perform any actions on behalf of the workspace
Data Impact:
- All engagement configurations remain
- Session history is preserved
- Analytics data stays intact
- No data is lost when removing a member
Sessions in Progress:
- Sessions continue running
- Removal doesn’t affect active sessions
- No interruption to sessions
Special Case: The Owner Cannot Be Removed
The Owner has exactly one path out of the workspace role: ownership transfer. The “Delete user” action is blocked for the Owner (and for the user performing the action), so you cannot delete the Owner, demote the Owner, or remove the Owner from the workspace.
If the current Owner needs to step down or leave:
- The Owner transfers ownership to an existing team member — see Transferring Workspace Ownership
- The previous Owner becomes an Admin
- The new Owner (or any Admin) can then delete the previous Owner’s user account if needed
There is no concept of “multiple Owners” — each workspace has exactly one Owner, and that role is protected until it is transferred.
Canceling Pending Invitations
When to Cancel Invitations
- Wrong email address was entered
- Person no longer needs access
- Invited by mistake
- Position was filled before the invitation was accepted
How to Cancel
- On the Team page, find the pending invitation
- Click “Cancel” or “Remove”
- Confirm the cancellation
You can always send a new invitation if needed.
Resending Invitations
When to Resend
- Invitee didn’t receive the email (ask them to check spam first)
- Invitee requested a new invitation
- Need to send a fresh invitation
How to Resend
- On the Team page, find the pending invitation
- Click “Resend” or “Resend Invitation”
A new invitation email is sent immediately with the same role and details.
Troubleshooting
Can’t Remove Member
Error: “Cannot remove this member”
Possible Causes:
- Trying to remove the Owner (the Owner cannot be removed — only transferred)
- Trying to remove yourself (Delete user blocks the user performing the action)
- Insufficient permissions (not Owner/Admin)
Solutions:
- If you need to remove the Owner: they must transfer ownership first, after which they become an Admin and can be removed
- If insufficient permissions: contact the Owner or an Admin
- If system error: contact Influxie support
Can’t Change Role
Error: “Cannot change role for this member”
Possible Causes:
- Viewing the Owner’s row — the Owner’s role dropdown and Save button are always disabled
- Trying to promote someone to Owner — the Owner role is not in the role dropdown
- Insufficient permissions (Editor/Viewer cannot change roles)
Solutions:
- The Owner role only moves via ownership transfer, not via the role dropdown
- Only Owner and Admin can open the role dropdown for non-Owner members
Removed Member Still Has Access
Issue: Removed member can still see workspace
Possible Causes:
- Browser cache
- Logged in session still active
- Multiple accounts
Solutions:
- Member should log out and log back in
- Wait a few minutes for session to expire
- Check if they have multiple accounts (personal vs. business)
